1|Booking & Payment
- Full payment or deposit payment (if applicable) is required upon booking confirmation.
- All bookings are subject to availability and final confirmation by MOVE JAPAN.
- Prices listed are based on the itinerary arrangement at the time of publication and may be adjusted before booking confirmation due to seasonal, operational, or supplier-related factors.
- Any additional charges caused by room upgrades, special requests, optional activities, or personal arrangements shall be borne by the guest.

2|Minimum Group Size
- All tours are subject to a minimum group size requirement.
- MOVE JAPAN reserves the right to cancel, postpone, or reschedule departures if the minimum group size is not reached.
- Paid amounts may be refunded or transferred to alternative departures depending on the arrangement.

3|Driver & Tour Service Fee
- A driver and tour service fee of USD15 per guest per day will be charged based on the total itinerary days stated in the promotional brochure.
- For example, a “3 Days 2 Nights” itinerary will be charged as 3 full service days, even if the final day is a free schedule, departure day, or does not include a full sightseeing arrangement.
- Service fees must be paid upon booking confirmation or according to the company’s designated payment arrangement.
- For small group tours under 10 guests, the driver may also assist with basic itinerary coordination and travel support services.
- Smart Travel Style journeys focus on route coordination and travel assistance rather than traditional full guided commentary services.

4|Cancellation & Refund Policy
- Free cancellation up to 8 days before departure.
- Cancellation within 7 days before departure: 25% cancellation charge.
- Cancellation within 3 days before departure: 50% cancellation charge.
- No refund will be provided within 3 days before departure, after tour commencement, for no-show cases, or for guests leaving the tour midway.
- Any bank charges, payment gateway fees, transaction fees, or currency exchange differences related to refunds may be deducted from the refundable amount.

5|Itinerary Adjustments
- MOVE JAPAN reserves the right to adjust routes, sightseeing stops, accommodation arrangements, departure times, or transportation arrangements due to weather, traffic, road conditions, operational needs, natural disasters, or other unforeseen circumstances.
- Attractions, restaurants, optional activities, or facilities may occasionally be closed or adjusted without prior notice due to seasonal operations, maintenance, weather, or local conditions.
- Seasonal scenery such as cherry blossoms, autumn leaves, snow scenery, flower fields, or natural landscapes are subject to weather conditions and cannot be guaranteed.
- Promotional photos and itinerary images are for reference only. Actual conditions may differ from the images shown.

6|Smart Travel Style
- MOVE JAPAN operates under a Smart Travel Style concept and is not a traditional fully guided group tour.
- Certain periods during the itinerary are designated as free exploration time.
- Guests are responsible for arranging their own personal activities, meals, shopping, and optional experiences during free activity periods.
- Some attractions may require walking or light outdoor activity. Guests should evaluate their own physical condition before participation.

7|Accommodation Policy
- Hotel arrangements are based on the listed hotel or similar-category accommodation.
- Standard room arrangements are based on one double-bed room.
- Twin room requests are subject to hotel availability and may incur additional charges.
- Hotel room sizes in Japan are generally smaller compared to international standards.
- Final room arrangements are subject to hotel confirmation.
- Some Japanese hot spring facilities may restrict entry for guests with tattoos, depending on individual facility policies.

8|Transportation & Luggage
- Guests are required to arrive at the designated meeting location on time.
- Guests who fail to arrive at the departure time will be considered as voluntarily forfeiting participation without refund.
- Vehicle types may vary depending on group size and operational arrangements.
- Vehicle images shown in promotional materials are for reference only.
- Vehicle seating arrangements are assigned according to operational requirements. Specific seats cannot be guaranteed.
- Vehicle luggage capacity is limited. Guests are advised to bring one large suitcase and one carry-on item per person.
- Guests are responsible for the safekeeping of their own luggage and valuables at all times.
- If personal belongings are left behind in vehicles or hotels, MOVE JAPAN may assist in contacting the relevant parties but does not guarantee recovery or delivery arrangements.
- Any shipping or delivery costs related to lost items shall be borne by the guest.
- Onboard WiFi, USB charging, or other equipment may vary depending on vehicle type and operational arrangements and cannot be guaranteed.

9|Guest Responsibility
- Guests are responsible for ensuring they possess valid travel documents, visas, insurance coverage, and entry eligibility before departure.
- Guests are strongly advised to purchase suitable travel insurance before departure, including coverage for medical expenses, accidents, travel delays, personal belongings, and related protection.
- Medical treatment and emergency services in Japan may involve substantial costs. Any medical, hospitalization, transportation, or related expenses arising from personal circumstances shall be borne by the guest.
- MOVE JAPAN shall not be held responsible for any medical incidents, accidents, or related liabilities arising during free activity periods or personal arrangements made by guests.
- Minor guests must be accompanied by an adult throughout the journey.
- Certain long-distance mountain or outdoor routes may not be suitable for young children or guests who are not comfortable with extended travel periods.
- Guests are required to comply with Japanese laws, public regulations, and safety guidelines throughout the journey.
- MOVE JAPAN reserves the right to refuse continued participation to any guest whose behavior is considered dangerous, disruptive, illegal, or negatively impacts other guests, without refund.
- MOVE JAPAN shall not be held responsible for losses, delays, theft, accidents, injuries, personal negligence, third-party incidents, or force majeure circumstances.

10|Force Majeure
- MOVE JAPAN shall not be liable for delays, cancellations, itinerary changes, or losses caused by natural disasters, earthquakes, typhoons, snowstorms, road closures, transportation disruptions, pandemics, government restrictions, war, strikes, or other events beyond reasonable control.

11|Photography & Promotional Use
- Photos or videos may occasionally be taken during the journey for promotional or social media purposes.
- Guests who do not wish to appear in promotional materials should notify staff in advance.

12|Final Interpretation & Copyright
- MOVE JAPAN reserves the right to amend, update, modify, or interpret all itinerary details, pricing, departure schedules, route arrangements, accommodation arrangements, and Terms & Conditions without prior notice.
- All images, itinerary content, brand names, designs, and written materials are the property of MOVE JAPAN and may not be reproduced, copied, or used for commercial purposes without authorization.
